This Privacy Policy explains how Ibroxam collects, uses, stores, and protects information when schools, administrators, and students use the Ibroxam Android exam browser application and the Ibroxam web administration platform.
1. Application and service identity
Ibroxam is an exam browser and exam monitoring platform for schools and educational institutions. The Android application is used by students to access exam URLs through a controlled WebView, while the web application is used by school administrators and the application owner to manage schools, students, sessions, activity logs, messages, and billing.
2. Information we collect
Depending on how the school configures and uses Ibroxam, we may process the following information:
- School and administrator data, such as school name, education level, administrator name, email address, phone number, school logo, subscription status, billing records, and payment information references.
- Student data uploaded or managed by the school, such as student ID, name, class, status, device ID, device name, and verification photo.
- Exam session data, such as session name, exam URL, start time, end time, allowed exit time, lock status, and session settings.
- Activity and monitoring data, such as registration/start events, app switch events, return events, finish events, screen lock events, close events, lock/unlock events, timestamps, messages, and switch counts.
- Camera data, when enabled for student verification or monitoring. Verification photos may be stored by the platform. Camera access is used only for exam verification or monitoring features requested by the school/admin.
- Technical data, such as server time, request logs, device identifiers used for exam device validation, and security/session cookies for the web dashboard.
3. How we use information
We use the information above to:
- validate student identity before accessing an exam,
- connect students to the correct school using a school token,
- open the school-selected exam URL in the Android WebView,
- operate exam session controls, including start, stop, timer, lock, unlock, messages, and exit permissions,
- record activity logs so school administrators can review exam events,
- show verification photos to authorized school administrators,
- manage school accounts, subscription status, billing, invoices, and support,
- secure the application, prevent unauthorized access, and troubleshoot technical issues.
4. Data sharing
Ibroxam does not sell student personal data. Data is used for school exam administration purposes. Information may be visible to authorized users according to their role, such as the application owner/super admin and the relevant school administrator.
Payment processing may involve third-party payment providers such as Midtrans. Email delivery may involve SMTP/email service providers. These providers process data only as needed to provide their services.
5. Student and school responsibility
Schools are responsible for ensuring that student data uploaded to Ibroxam is lawful, accurate, and used with appropriate notice and consent according to applicable school policies and local regulations.
6. Data retention
Data is retained as long as needed to provide the service, support exam records, maintain billing records, or comply with operational and legal requirements. Schools may request deletion or deactivation of student records according to the features available in the dashboard or by contacting support.
7. Security
We use reasonable technical and organizational safeguards to protect data, including authenticated access to the web dashboard, role-based access, encrypted HTTPS when configured on the production domain, and controlled storage access for uploaded files. However, no system can guarantee absolute security.
8. Android permissions
The Android application may request permissions such as internet access and camera access. Internet access is required to communicate with the Ibroxam server and open the exam URL. Camera access is used for verification or monitoring features configured by the school/admin.
9. Children and students
Ibroxam is intended for use in an educational context under the direction of schools or institutions. Student data is processed for exam administration and monitoring purposes as configured by the school.
